A.    Announcements

(i)    Community Hearing: State of School of Management (SOM) and Strategic Transformation, 8th December 2016
Email from President: 28 Nov. 2016

Dear Faculty, Staff and SOM Students,

In my announcement on the appointment of Professor Lawrence S Abeln as the new Dean of the AIT School of Management (SOM), I had highlighted that SOM is in a critical phase of change and to some extent needs a ‘turnaround’ to regain its past stature, to rebuild its revenues and reputation and to further its relationships with external stakeholders.

In this context, I am pleased to report that following consultations at different levels Dean Abeln has formulated a proposal for the transformation of SOM, as outlined in the presentation entitled "State of SOM and Strategic Transformation".

I would like to cordially invite you to a community hearing on Thursday, 8th December 2016 from 13:30-15:00 p.m. at the Milton E. Bender Jr. Auditorium during which Dean Abeln will be outlining his strategies, to be followed by a Q&A session.

I look forward to your participation.

Kind regards,

Professor Worsak Kanok-Nukulchai
Asian Institute of Technology (AIT)

(ii)    AIT Share invites participation
Email from President: 28 Nov. 2016

Dear Faculty Colleagues,

Online education has become a necessity of modern education ecosystem. AIT is ready to launch it's own system called "AIT Share". AIT Share will be open to all.

At the start, there is a plan to host few existing courses from AIT faculty members. Anyone can register online for these courses and after successful completion they will be awarded "course completion certificate" without any credit. These courses will be free in the first couple of years.

AIT Share platform is ready and will be managed in tandem by AIT Solutions and Office of Special Degree Programs (OSDP). I would like to encourage you to propose your courses that you wish can be floated online. You can propose using following online form:

Once you propose the course by filling the online form then OSDP will coordinate to collect all the materials and support you in formatting and designing/ styling the course material. These courses are planned to be launched from January 2017 semester. You can reach Dr. Naveed Anwar (nanwar@ait.asia ) and Professor Tripathi (nitinkt@ait.asia ) for any clarification.
Thank you
With best regards

Dr. Worsak Kanok-Nukulchai

(iii)    Loss of AIT's Alumnus, Ima Muljati.
Email from President: 29 Nov. 2016

Dear Alumni and Friends

It is with deep sorrow to have been informed that one of our very active and loyal AIT alumni from Indonesia, Mrs. Ima Muljati, has just passed away by a stroke this early morning at 03:40 am. on 29 November 2016 at her residence in Surabaya.

"Ima" graduated from AIT's School of Civil Engineering in 2004 and have served as a lecturer in Petra Christian University (PCU), Surabaya -  Indonesia. She has played an instrumental role in running the dual degree program, PETRAIT, which has sent a large number of top students from Petra Christian University to AIT mainly in Civil Engineering.

In recent news, I recognized that she has served as the chairwoman for a Seminar to commemorate the long service and the 70th birthday anniversary of my good friend and fellow alumnus, Professor Emeritus Benjamin Lumantarna of Petra Christian University.

On behalf of the AIT Community, I wish to extend my deepest sympathies to family and friends of Ima for this untimely loss. May the soul of Ima Muljati be at peace with our Heavenly Father.

(vii)    Extra public holiday on January 3, 2017 for New Year weekend

Office of Human Resources Services announced that as approved by the President, January 3, 2017  is  stipulated as an extra  holiday in addition to  January 2, 2017. Thus, AIT will have long holidays from December 25, 2016 until January 3, 2017.

This implementation is done to comply with the cabinet has approved January 3, 2017 to be an extra public holiday for New Year weekend.

(viii)    December 31, 2016 closing announcement

To ensure that AIT completely record the 2016 transactions in this year and not delay to 2017, please strictly follow the guidelines: -

1)      2016 Payments cut off
•         All “approved” 2016 Payment Requests/ Cash Payment Summary with attached supplier invoices/receipts (dated within 2016) arrive Finance Office by 23 December 2016.
•         Please avoid any delay submission of the above documents since Finance has deadline to close the yearly account. Delay submission means your request for payment will not be able to charge to 2016 budget and neither to 2017

2)      Payroll
•         Overtime cut off is 16 December
•         Actual overtime up to the cut-off date plus estimation of overtime for the remaining weeks up to 31 December 2016 must reach Finance Office by 16 of December 2016 for reserving in 2016 account.
•         Fail to submit estimated overtime within the deadline means there will be no budget to pay the overtime.

3)     Purchase Requisition (PR) and Purchase Orders (PO)
Before issuing Purchase Requisition and Purchase Order in December 2016, please check whether works/services can be delivered/completed within the year 2016 or not.  If yes, Purchase Requisition must be approved before 13rd   December 2016 and all Purchase Orders must be approved before 19th   December 2016.
Any work/service which cannot be completed within 2016, Purchase Requisition and Purchase Order must be issued in 2017 and will be charged to 2017 budget. External Auditor will not accept to record goods /services delivered in 2017 in the year 2016
For materials/ services to be delivered in 2016, please request suppliers to submit their Suppliers’ invoices to Finance office by December 31 for recording in 2016 account.

Note: There is a repeated misunderstanding every year that by placing Purchasing Requisition (PR) or Purchase Order (PO) in 2016, it is sufficient to utilize the 2016 budget. This is not possible unless goods/services are delivered in 2016, not 2017.

4)      Settlement of outstanding Promissory Note and RTA
Please settle your Promissory note and RTA within 23 December 2016.

5)      Invoicing Income
•         Schools/Units are requested to submit all billing requests pertaining to work/services performed for third parties in 2016 (e.g. fees recoverable from donors, income due from project sponsors) to Finance Office by 23 December 2016.

6)      Internal Charges
•         All Units which have authority to update Internal Charges through ERP must ensure that the charges of 2016 have been completely updated by 23 December 2016. Units which do not have the authority must submit the Internal Charge Form to Finance Office by 23 December 2016.

Other issue

7)      Sponsored Projects under Fund 30
